Type of data

The personal data collected may include your name, email address, postal address, VAT number, telephone number, website, social media contact details, company number, job title, order history or correspondence.

Due to the nature of my specialisms, I rarely receive personal data to translate. Should I receive such data, it is the data controller’s obligation to ensure that they have the necessary permissions to share the data with me as the data processor. When working with translation agencies, they are the data controller.

How I get the personal information and why I have it

I only have access to data that you have voluntarily provided to me directly via email. Third parties are not used to obtain this data, and it will not be shared with any third parties unless I am required to do so by the British authorities.

I use the data I hold to provide my language services, invoice you and maintain my accounts.

Under the General Data Protection Regulation (GDPR), the lawful basis I rely on for processing this information is your consent. You can remove your consent at any time by contacting caitlin@caitlinjob.com.

If personal data is sent to me for translation, then the lawful basis I rely on for processing this information is a contractual obligation.

I work in accordance with the confidentiality clauses contained in the Code of Professional Conduct of the Institute of Translation and Interpreting.

How I store your personal information

Your information is stored securely on a password-protected computer in my office. It is backed up on a password-protected external hard drive also stored in my office. Where the data is stored in emails, this is GDPR compliant and subject to security measures. I use strong passwords, two-step identification, and regularly updated anti-virus software.

I retain data for different lengths of time depending on its purpose:

  • Data will be retained for the statutory period (six plus one British tax years) to comply with tax requirements. Source, target and client reference files for translation services will be kept for the same amount of time in case a legal dispute about my work subsequently arises
  • Colleagues’ personal data will be retained for industry and business-related activities (not marketing) until they withdraw consent or the business ceases operation
  • Data for administrative purposes will be retained as long as there is a contractual relationship in force to comply with contractual obligations

All data is disposed of using secure data removal software.

Your data protection rights

Under data protection law, you have rights including:

Right of access – You have the right to ask me for copies of your personal information.

Right to rectification – You have the right to ask me to rectify personal information you think is inaccurate. You also have the right to ask me to complete information you think is incomplete.

Right to erasure – You have the right to ask me to erase your personal information in certain circumstances.

Right to restriction of processing – You have the right to ask me to restrict the processing of your personal information in certain circumstances.

Right to object to processing – You have the right to object to the processing of your personal information in certain circumstances.

Right to data portability – You have the right to ask that I transfer the personal information you gave me to another organisation, or to you, in certain circumstances.

You are not required to pay any charge for exercising your rights. If you wish to exercise any of your rights, please notify me in writing at caitlin@caitlinjob.com. You will receive a response within one month.

When visitors leave comments on my blog WordPress collects the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it.
